Preparing for the Roll of Toastmaster

If you are reading this you have either taken on the challenge of being the Toastmaster for an upcoming meeting or are thinking of taking on this role in the near future.

Either way congratulations!  This role is not all that hard and can be a lot of fun, but it does take some preparation.

Remember before any of the info that follows or contained in the attached documents, it is already assumed that you have called all of the participating members of the club to confirm that they will be there to fulfill their roles. During your phone call you should have advised them that you will call upon them during the meeting so that they may explain their roles (except the speakers and evaluators). You must also call the General Evaluator, Table Topics Master, most importantly the Speakers to ensure that they are speaking and get an idea of what the speaker will be talking about. While calling the evaluators, you should also remind them that they are to get in touch with the speaker to confirm what manual the speaker will be using and any particular aspect of the speech the speaker wishes to be observed.

Why gather information on the speaker? The reason for this is as follows, the Toastmaster is, for all intents and purpose, the master of ceremonies for the evening. As such, it falls onto you to set the mood of the audience for each speaker. You can only do this if you know what the speaker will be talking about. Setting up the audience for a speaker is an important part of the success of a speech. It serves as a bridge and helps the audience prepare mentally and be more receptive to the upcoming speech.

For example, a speaker has informed you that he will be giving a speech on "Tips to buy a used vehicle" an intro for this could be, once you have asked for the evaluator to read the objectives;

"...... thank you (Evaluators name). Are any of you in the process of looking for a used vehicle? Have any of you ever shopped for a used vehicle and were never quite sure what to look for? Does the car have too much mileage, is it too old that sort of thing. Well take your pen & Paper out because "Bob" this evening will be offering many tips on shopping for a used vehicle. "Bob" knows quite a lot on this subject, both from experience and from research. So pay attention to a speech full of information on this subject and help me welcome to the lectern

"Bob,
The secret of buying a used car,
The secret of buying a used car,
Bob"

Aside from the formal speeches, ensure that you gather some info on the Table Topic Master and the General Evaluator along with they what they intend to do that evening. Again this is to set up the audience for his/her role. Careful not to say too much about their role as they should explain their role once they have been introduced.

So you have now called all members of the club, filled the roster, gather info for all of your intros now what?

Now its Show Time!

The president of the club has just introduced you.

Wait for the president to be seated and then commence. You should advise the audience, for the benefit of guests and new members, what your role is as the Toastmaster. In essence you are a Master of Ceremonies and serve as a bridge between speakers and events during the evening. It falls to you to ensure that the meeting stays on time. Remind the audience of the theme that evening. This is also your opportunity for opening remarks regarding the evenings' theme.
